Question for anyone with multi-sub setup. I keep running into an issue where we create a Bill for Euros, billable to a customer. When we go to invoice the customer in Euros for that bill, it's a different rate. I think it's because these euro transactions are on a GBP subsidiary. So the exchange rate for the bill is different than the invoice. But is there is setting to apply to prevent this from happening? We can update the rate manually but if we have multiple bills for one customer, they will have different exchange rates. Invoices only let us set one exchange rate. I also tried adjusting the item rate on the invoice but then it doesn't tie out to the GL impact. Sending a ticket to NS, but wanted to know if anyone had advice!

Are you saying you create a Sales Order then when you Invoice it- it is a different rate than the Sales Order?
k
It's when I create a Bill. The bill then gets charged back to the customer in an invoice. So when you invoice customer, it appears in the Billable Items tab in the invoice. It has a different rate than the original bill.
n
So you get a vendor bill and then you invoice whatever you got billed with a markup (let's say)? This is a case where you are subcontracting or doing a pass through of cost&
k
Exactly- it's a pass through cost
n
ok and what is your current process to make that happen?
k
We create the bill in NetSuite, tag the customer in the line. When we invoice the customer, the bill is automatically pulled into the invoice.
Or at least the line of the one to multiple bills we are charging the customer.
n
Ah ok, are you leveraging projects in this case?
k
Not for these. We are directly tagging the customer to the bill lines.
n
I assume if you Bill/Invoice in the same day both transactions have the same rate, but on different days they have different rates?
k
Correct
n
Ok, in this case there are a few options but they would be customizations
Do you invoice and send all in one action or do you create the Invoices and then send after some period of time?
k
It looks like the team sends invoices throughout the month. But I've been holding them up :)
n
Gotcha - well, one option would be to have a map reduce script created to have those Bills & Invoices have the same exchange rate. Having said that, when you close your period the difference in FX rates would be registered under FX gains/losses
k
Ok got it. Option 2?
n
So, if you don't want this registered as an FX gain/loss (aka you want to rebill at exactly the same FX rate and your auditors are OK with this) - then it may be possible as a WF as well... but the script would work better
k
Was thinking of the workflow but there will be multiple bills with different exchange rates on the same invoice. So the first option would work better.
This is also happening for expenses being re-billed so I really appreciate the advice.
n
Ah yes, no problem. It is normal that when you Invoice you take the days exchange rate but in the case where you rebill then it's different as you rebill the amount that was on the original expenses + % markup (maybe).
k
Yes, I thought the process would be seamless. Always something! Thank you Nicolas!

Np !
