This is going to sound like a really stupid question, but I have to ask anyway. Is there a SuiteApp or other third party service which will allow end users to circumvent the costly storage fees NetSuite charges when you exceed 10GB?
k
Kind of...
It depends on why you are exceeding the 10GB.
NS generally isn't the best about enforcing it consistently... they'll let you get away with it for years often, and then slap you with an exorbitant charge.
c
My file cabinet says that we're at 7 GB used but our billable componets say we're only at 3.7 GB

Now, as to the "it depends why part" - I often recommend something like Box.Com integration or another similar 3rd party concept for file storage (it sounds like there is one that hooks up to one drive now, don't recall what it's name is)
There are also 3rd parties that take transactional history and aggregate them into journal entries which reduces the number of transactions in the system
If you have a significant number of custom records - depending on what they are you mgiht be able to delete old unneeded ones.

I would also look at Celigo's CloudExtend that integrates Google Drive (and Gmail, if you need it) with NetSuite. Clean solution and works well. Celigo CloudExtend G Suite

We use a NetSuite extension called Next-service which is great, but takes up a lot of space in our file cabinet

Really, the only fully controllable aspect is your file cabinet. And frankly if you are physically storing the documents in your ERP you are doing something wrong in my opinion.

@RL we use google drive for storage so that actia;;y spimds a,azomg

We wanted to use Celigo + Drive but there's no permissioning in place for the files uploaded through records, which is a dealbreaker for us. We're using Box.

@jen Thank you.

The old Box integration was much better, it had a setting where people could only access the NetSuite-associated files through the NS interface, which meant it was always checking who had access to what. Unfortunately the new integration (which was forced upon us) doesn't have this feature. It adds people as collaborators the first time they access the Box folder for a NS record, and then doesn't check again later if they should still have access. This could potentially be dangerous if someone had access to a record type (e.g. Employee) and went to the Box folder (and therefore is added as collaborator on that folder) and then later on, you remove their access to Employee records.....they will still be a collaborator on the Box folder and nothing stops them from going in through the Box.com UI.
Depending on the nature of your business (and the types of files you want to store) I would make sure you fully understand the implications of any control/permissions for whatever solution you end up going with.

Hi @Collin Hannah Midbox allows you to store all your files in Amazon S3 and integrate them seamlessly with NetSuite. We can also integrate easily with other DMS like Google Drive or Dropbox. Please send me a DM if you are interested. Disclaimer: I work for Midware who is the author of the bundle.

@Pablo Vela what do you use to ensure that the permissions of the files in S3 match the permissions of the user in NetSUite?
c
I really really like celigo

@jen Sorry for the late response. We did not take that route, as Midbox is planned to integrate with other platform as well. We did however implement a strong security layer that an allow share/unshare, monitor logs, etc.
