Hi All, Does anyone have experience working with workflows in Netsuite? Is it possible to create a workflow for
Transaction: PO
Status: Pending Billing
Vendor: Customer Supplied Inventory, and others
Amount: 0.00
Automate: For any PO that is pending billing with 0.00 and is a non-inventory item > That it just auto close once the status has changed? We create a PO for customer supplied materials at 0.00 to keep record of it for builds but that leaves many PO’s open and we have to bulk close them. I’m wondering if Workflow would automate that?
a
Yes just create a Saved Search with the correct criteria so the results of the saved search are the PO's you want closed. Then use you saved search to trigger a scheduled workflow. In your workflow add the Items Sublist Action Group. Then put 1 action in your sublist action group Set Field Value
Field = Closed
Value = T
then set your schedule to run every night and every night it will close all the PO's that meet the criteria of your saved search

Can the save search be private and still work with the workflow? There’s about 6k saved searches and I don’t want clean up of public searches to delete this one. Although I can name it something
a
Yes if you mark the "Run As Admin" box it can be private
Also I like to make it something like "WF - POs to be Closed" or something so the WF is the indication it's being using in a WF
I should be more clear the Run as Admin box is on the wofkrlow
c
Yes. Thank you so much. I will try it out now
I think I’m missing a step on this WO. I created another state but am unable to follow steps after that
message has been deleted

Do you want the status to go from pending billing to closed? Or billed status?
c
Closed.
But I didn’t see any closed status available
a
It’s a checkbox you have to mark on each line of the PO
Add a sublist action group to state 1 of your workflow
c
Okay but the Sublist isn’t allowing me to click it
a
This button?
c
Oh…. Okay so click that and from that sublist …
a
Yes select the items sublist
