Question for anyone familiar with Suitepeople Payroll -- We are working with our implmentation team to load our YTD employee earnings/deductions/etc. Our implementation team has told us it is impossible to load this data by check date, and that all YTD data will be dated 01/01/2022. Is this actually true that it is impossible to load by check date?

I'm not positive on this as we had Netsuite do our implementation for us, but I think they might be taking a shortcut because I still have one of the templates that Netsuite had me fill out and it's a .csv per employee and they had me fill out each check date with the deductions/contributions. I'm not sure if they used that for the import or just validation though.

It's pretty standard from an implementation perspective, for ease and efficiency, to just upload YTD data as a summary figure
not sure about US payroll, but it's certainly true of what we do for UK, AU and NZ payroll

So I pushed back and they told us the load can only be done via an internal tool that is not client facing, and has to be done that way since the paychecks are non-posting and they can’t be loaded like that without this tool. I feel they are BSing us because surely Oracle isn’t the only company that can do payroll implementation?

Are you using Oracle or an Implementation Partner? If it's the latter… They tend to bury as much Native in Customization as they possibly can. Also… Which system are you migrating from?

Got it. I'll help where I can… It sounds like they're just trying to create lump sums in your payroll accounts, instead of migrating them in as payroll batches. Batches can be done according to Period Endings (or Payroll schedules).

No, we are using a different system to track time and loading just the weekly totals

Yes. They can enter an opening balance (dated back to 01/01) for your Payroll Processing Account (or even a placeholder Reconciliation GL that's non posting) and then migrate in payroll batch data and rec against the opening balance. And that makes it even easier. NetSuite is restricted from creating a Payroll Batch for individuals that don't have Time in for the Period. But since you're not using it… Should be no problem.

Thanks Mathew, that is very helpful. I feel a bit like we are getting the runaround here. If something isn’t covered in our SOW thats fine, but I’d wish they would just tell us instead of making excuses.

Any time! Yes… SOWs require a few different “read over” sessions. If it says… Migrate Payroll… They're basically telling you the easiest way possible is the only way possible. If it says… Migrate Payroll Batches utilizing historical Pay Data/Periods/Hours/Withholdings/Deductions broken out and entered by Employee… They'll have to do something more along the lines of what you're after.
