Hello, is there a way to link a project billing rule to a specific sales order line?
p
Hey @Phillip can you clarify what you mean? Are you talking about charge-based rules? And if so, what type? And if not, what do you mean by ‘billing rule’?
p
We are setting up charge rules and I think I got that part figured out. @PaulJ Do you have a recommend way to invoice charges? I am trying to figure out the best way to invoice the charges because we have some mandatory custom fields that need to be completed on the invoice. These fields were usually populated from the sales order. thank you
p
Will you require sales orders for all project billing? If so you should still be able to populate those line level custom fields on the sales order, which will then carry over to the invoice.
p
I have not figured out a way to connect the sales order line with the charge based rule and rate for the resources. is it possible? I have only been able to invoice the charges. it would be nice to link to the sales order line
p
So you’re creating project tasks, and assigning resources? How are you setting the rate for billable time? billing rate card? employee rate?
p
We are creating project tasks and assigning resources. We are setting the rate for resources by using the billing rules. Our pricing per resource is unique for each project we have
p
sorry, the details are important here. When you say “we are setting the rate for resources by using the billing rules” what do you mean? are you using a billing rate card? Or something else?
I ask because if set up ‘correctly’, and if the project preferences are set to use planned time entries, then your project should be generating forecast charges against your time-based rule, which should then automatically add to the Sales Order when you select the project, or if you’ve already added the project then when you click ‘Refresh Items from Project’ on the Sales Order items tab. hope that helps

@PaulJ Is there a way to associate tasks to a rate? We are trying to use billing cards but would like to have the rate be based upon the task instead of a specific resource
p
Unfortunately NetSuite is assuming resource assignment. Anything else other than the actual resource that is doing the work being assigned to the billable project task will be custom. I’ve done this a few different ways, using a developer (I can’t code), and none of them were easy. Sorry….
To be more clear, if you can’t specify the resource on the task (lots of companies can’t - resource allocation changes all the time, etc) then you have TWO problems. 1 - you need to establish the rate that will be charged for each task (only way I’ve found is using generic resources, there could be others) 2 - time entered by employees that AREN’T assigned to the task must somehow ‘inherit’ the same rate as the generic resource on the project task. Ideally you can just set the employee with the appropriate billing class, and then it will just ‘happen’ but if that changes as well then things get messier.
p
do you prefer billing card or resource billing for maintaining time based billing in NetSuite? Thank you so much for your help
and do you have a way to split billing by charge rules?
p
billing card or resource billing depends on your use cases. If you ALWAYS charge the same rate for a given resource, you can set the rate on the employee record, but that’s almost never the case so billing rate card is easier, it just then ties you to the idea of assigning all resources to every task which is….painful. What do you mean by ‘split billing by charge rules’? Can you give a more specific example?
p
If we have 2 separate project billing rules on a project. Can we create a sales order will 2 separate lines with each billing rule? We would like to keep the same service item for project based billing
p
So two time-based billing rules with the same item but at a different rate?? Not sure I follow.
p
thats correct. NetSuite groups the same rules together natively if it is the same service item
