Trying to figure out how to handle integrations and different users. We want to have each integration be on a separate user. We also want the same email used for each user. Is this how other people handle it? I am not aware on how licensing worked, but using the same email for 4 different users only used up 1 license instead of 4. Is that expected behavior?
s
are you talking about NS licenses? Then it is not allowed to have same email address for multiple users
e
Yes, every email is a distinct "user".
n
I have created 4 employees (users right?) with the same email address. They all show under Page: Manage Users.
But my "Full Licensed Users" count has not gone up.
e
As expected.
n
So, is this normal practice to have integration roles using the same email or is it best to have different emails? We wanted to put them under different user so we can see in the system notes, or saved search what user (integration) created records.
t
I think users are employees who have been granted "login access", not just employee records. We have many employee records that are active, but my understanding was that our licenses were tied to users with Login Access.
s
@Tim_Pedersen you are 100% correct
number of access = number of license consumed
Also note the one licensed user can have multiple roles - roles doesn't counts toward license
n
So each of these users has "Give Access" checked, but since they are all under the same email, it hasn't count against our license count it seems.
s
because you have used same email address, note that email address is the user id or key for the access table. By using same email for multiple users you are breaching terms and condition of Netsuite.
e
AFAIK this are not real users, are they? @Noel B is creating a dummy account for each integration record.
n
This is correct. Dummy accounts so we can tell what "users" created or modified a record in NetSutie.
