Need some help understanding what the adverse impact of only partially using bins is: We have an issue where month after month we have variances between our inventory subledger, and our total inventory GL balances. I think I identified the root cause as being us turning on "USE BINS" for some items but not all, and the ones we did turn on to use BINS, we didn't do BIN putaway worksheets for 100% of the time. I'm trying to understand if I'm on the right track here - How does NS calculate inventory subledger/GL valuations when some items are set to use bins and some are not, given the same location. If I have 100 units of an item that doesn't use bins, then I turn "USE BINS" on, but don't do a bin putaway entry, what happens to the value/quantity of those items? It would appear the $ amount still lives in the GL balance but the units totally disappear - i.e. it shows we have units in a location, but 0 in any bins. Unfortunately we have 3m+ items in our system with all the different size/color/design variants, so running a standard Inventory Valuation report or Stock Ledger report doesn't load for us, so I'm limited to SQL when it comes to looking at the full picture.

The GL balance should be derived from the total value at the location level. GL does not consider the qty in bins for its balance So if there is a qty on hand and a cost it should hit the GL regardless of what bins it is in Also depends on your costing method

@AI1 Our GL Balance I believe is correct, it's the sub-ledger that's incorrect. We found one instance of an item yesterday where we had 750 units on hand, then turned bins on, never put it into a bin, and the GL balance was correct but it totally disappeared from the subledger. It would also show we had 750 units still in that location, but when you look @ the bins they had 0, so it would have appeared (at least to our WMS) that there is none available for us.

I’m not sure what you are mean when you say “sub ledger”. What is that
Are saying that the location qty on hand is not matching the sum of all the Bin on hand for that item ?

Sub-ledger = units * $/unit, general ledger = GL 1200, which should be the sum of the subledger. In our case it is not. If I were to run an inventory valuation report, it says we have no units of that item and no cost, however, when we run a trial balance, that Inventory GL account says there is a $ amount is in there. If I drill into the item record itself and look at the Locations, it shows me all the units are there, but if I look at the breakdowns of the BINS those units live in, it shows me 0 because they were never put away. This is a huge issue for our accounting team, because if our sub-ledger (units * $/unit) does not equal our general ledger, that means we have $'s (either up or down) that are not associated with an item, so there's no way to count them or recognize the cost of them as they're consumed, the only solution is to make a Journal entry to clear that variance which is bad practice. I was able to fix the issue by going back and deleting the initial Item Receipt which caused the issue, and re-received it using a BIN, and suddenly those units appeared on our inventory valuation report and the GL and the sub-ledger balanced. I was not however able to do a BIN putaway worksheet, because it didn't show me that we had any units to putaway. Hope this makes sense. I would like to avoid having to delete & re-receive every item we purchased that had BINS turned on but didn't correctly put away the units.

Are you sure there are no items in bin Putaway worksheet? When you post an IR with no bins then it always ends up on the bin Putaway worksheet Did you try selecting a location and making sure to wait? Sometimes it takes awhile but NetSuite doesn’t show any indication that’s it’s thinking/working
