Hello. We are using Advanced Projects Budgets to track two federal grants (grant = project), but I need to be able to enter journal entries that are matched to a Task Item. When I try to add the Project Task field to the journal record, I don't see it. Is this by design? I specifically need it to cost allocate our indirect cost (10%) to the project task/work item. I am using accounting codes and it shows up but it shows up as "unmatched" in both the project budget and project budget v actuals reports.

It is not an option to add. I don’t know if that is by NS design or an issue with our instance.

Can you enter these as expense reports or vendor bills instead? It might be a little too much of a hack but those are the only transactions supported by the job costing and budgeting (and time)

I see it in my instance. I have SuiteProjects.

Interesting....I have SuiteProjects, Job Costing and Budgeting and Advanced Project Profitability Reporting and it doesn't have the project task fields as an available sublist field on JE for me....weird

Hi Karina. I appreciate your help. I think the screenshot you are showing is for Support Case "task" vs Project/Job Task. I am including a screen shot of the field I am talking about from a Bill record. (It also helps if others are searching for answers.)

i do not have any cases. If I add my project my project tasks come up

Ok let me go test this. can you do a screen shot where it actually shows in the JE record line item? This will help me show NS Support that it may be an issue with my instance
Your project tasks show as options using the Case/Task/Event field?

@Karina are you sure that is the journal entry transaction? Not the time entry record? I’ve seen case/task/event on the time entry but never the journal entry

as an FYI - NS support said the "project task" field is not available although Karina may have a workaround. I have not had a chance to test. The enhancement request is #168294 and was set up before my request.

it is not custom, not at all. native field, that’s what I have . Mind you I have all possible suiteapps related to projects installed in that instance. in my other instance where some suiteapps are missing this field does not exist

@Karina I so appreciate your help here...Do you know if you tag a financial line item in the Journal record does it shows matched in the WBS sub tab, Budget sub-tab, and on the Project Budget vs Actual reports? I am not needing this to show for billable hours/expenses, but more to show true cost for an internal "project" ie grant
when I do my indirect cost calculation, I need it to shows as a "cost/expense" against the project and I prefer to do this via Journal rather than a bill to/form our organization if that makes sense

Doesn't the WBS use the Activity Code to match costs to budgets? If so I'm pretty sure you can add an Activity Code to a JE

@Kerry - no problem! I always try to learn smg new! like this time around. I have not used journals with tasks on project, but I suppose I can now - thank you for expanding my horizons 🙂 . to answer your Q about WBS and the task - yes, that’s where it shows under Project Task, yes, my Planning is there
@AI1 - yes, you can use activity codes on JEs as well
