what are the best ways you guys have seen to have approvals outside of NetSuite without using an extra license? (by email most likely...)-> 3rd party? Custom solution? etc.
a
I've seen both - custom solutions include email capture plugin script or a Suitelet that's set as available w/out login
n
yeah.. I also recall back in the day it was possible to include via workflow directly.. not sure if thats even still an option
a
3rd party solutions are nice as they integrate w/ NS but typically are more costly, still that's probably best if you're a big enough company to have that many people approving things outside of NS where you don't want to give them NS licenses
n
are you thinking 3rd party like a squareworks or something? any recommendations there?
a
you can include a link / button in an email for users to click to approve, yes, and send that via workflow - but it would have to be a link that pointed to a script (Suitelet - custom) - i'm not aware of any native way to do it
i guess i'm thinking of the AP side, so i was thinking something like Coupa for vendor bill processing and approval
n
gotcha
I'll see what the exact reqs are but this helps
a
if you're thinking AR or JE approvals then it would likely have to be something else and I'm not as familiar with the players in that space
k
Doesn't SuiteApprovals work without a login?
Sends an email with a link that opens a suitelet that can approve/reject the associated transaction and provide a reason
a
It does, I believe it uses an Email Capture Plugin as well
I forgot about that - that would be a way to do it without needing to write a customization yourself
m
I believe SuiteApprovals still enforces that the approvers have logins, even if they don't have to use them
a
ooh interesting, that's good to know
makes more sense too, i thought it was odd of NS to suddenly come out w/ a solution that skirted around the license issue, which they always seemed adamant about
s
SuiteApproval suiteapp does support approval routing via email feature. SuiteApproval is free to use now Bundle ID - 203059.
n
@Sam-I-Am so its working for approvals without a license?
s
yup
n
very nice- that's what I thought I had read somewhere

I've definitely set it up with emails only.
Without login access
m
Interesting, we briefly looked into it and understood from the documentation that it would require access, but we didn't actually try
Probably from this
k
Oh I swear it didn't have the requirement, but maybe my recollection is flawed
Maybe I janked it with employee center logins
Those are pretty cheap.
Definitely worth a test though before buying a bunch
m
20% of full user license
a
Maybe they just mean that the UI portion requires the View access but the email portion doesn't - it's definitely worded weirdly
s
you might want to look at Square Work consulting Approval process, there bundle is about 5K but it includes 3 way match and Email Approval
n
Does anyone know if demo accounts send emails or not? I'm trying to test SuiteApprovals and it doesn't seem like my demo account is sending anything to my email
@al3xicon @michoel @KevinJ of Kansas
s
Demo account acts same as sandbox
n
so it should technically work then
s
It only sends emails to NetSuite.com email address
It will under communication tab of the transaction though
n
how can I test email approvals then? I don't see anything there... must not be working properly
s
If you go under email preference you can turn it on to send it to specific email or logged in user by default it's set to do not send
message has been deleted
n
yeah its set to logged in user right now
s
Then you should get email, or maybe try typing in your email in send email to box
n
yeah i'll try to just type my email
I can confirm that it does not seem to work for employees who do not have access to NetSuite
