We have almost used up our file cabinet. Netsuite doesn't allow an increase so we need a solution. Firstly is there any way to clean up the file cabinet effectively. Most of the files have ambiguous names

I don't know about any specific solution to migrate files to another system or storage, I have built customizations for this before: • Migrate files to Sharepoint and/or an sFTP Server. • Create a customization that allows the users to upload files from the different transactions and/or record types to Microsoft Sharepoint via a button click with a nice UI handling duplicated files names and multi file uploads.

Most companies I've seen that need more storage use the NetSuite box integration (including us). No idea if that'll migrate files for you or if there's an additional tool or service that'll do that, but I wouldn't be surprised if there was since it's a pretty widely used integration for this purpose and exact use case. There's a few less prominent ones out there as well, and I'm sure Alien's stuff is pretty nice too. If it were me, I'd probably investigate integrating with whatever existing storage tool you have already so everything is all in one spot/with one vendor. If you don't already have a document storage platform then get some demos of ones with existing NetSuite integrations and pick based on usability and price.

Our company along with our eXtendFiles SuiteApp commonly rescues customers from the dreaded forced service tier upgrade (as highlighted in a recent case study): extendtech.net/case-study-biosafe-netsuite-file-storage. It's a built-for-NetSuite, NetSuiteNEXT ready solution that allows you to choose your preferred storage (Azure, S3, Dropbox, SharePoint, Google Cloud, etc): extendtech.net/extendfiles

Also, Review your retention policy to see how long you actually have to keep each category of files. If you need to delete things the hard/cheap(?) way, instead of expanding your storage or integrating with outside-of-NetSuite storage, I'm not sure the best approach but I thought of an idea of downloading all the files (folders can be grabbed as a ZIP file to save time) to a big hard drive and running a local LLM on the whole thing to report to you what all the files seem to be about. Then you can delete the ones you don't need from the Filecabinet (if any are found to be no longer needed), if that complies with the company's retention policy so you don't delete things you wish you hadn't. That way you have a backup on the big hard drive (and anywhere else you copied that to). Be careful not to lose anything, AND not to send or copy it to anywhere or via any route that would expose sensitive data. For the immediate solution though it's probably better to expand or integrate with outside-of-netsuite storage.

We use a service called Excelym that moves the files to an Amazon S3 bucket, and updates the NetSuite file records to point there instead for each file that was moved. It’s pretty slick and very affordable
