Hi everyone, I have a question about charge-based billing from projects. My client has decided to do billing without using Sales Orders because the refresh functionality is too complex, among other reasons. So, they create charges from the project and bill directly from the project. They asked me to check whether there is any way to customize this, maybe with a Suitelet, to add an extra Project filter so they can bill by project, since the standard Invoice Billable Customers screen does not allow filtering by project. Does anyone have any insights?

Use the process billing operations screen and you can filter by saved search criteria

Hi MavenCloud, Thanks for your reply. The Saved search that can be user on filter should be of type transaction. I dont use sales order. Directly generating charges from project and bill them

Oh sorry I was thinking about the Customer field in the filters. You can also create a custom entity field - as a free text field and apply it to both customer and projects
Then create a workflow that would set the new custom entity field to the Project Name value on create of a project
Then customize the invoice billable customers screen to add that field as a Filter

Hi Maven, Thanks a lot for your reply. I don’t see any transaction fields when I click on *Customize*; I only see customer fields. How were you able to add that project filter? Is there any configuration that needs to be added at the field level to make it appear on that screen? Thanks in advance !

This is not a transaction field. It is a custom entity field

Thanks Maven for the feedback, I got the point but the problem here is one customer can have multiple project

Yes only set the value on the project record but it needs to be applied to customer and project for it to show up in this screen
So the workflow only sets the project filter field on projects.

Yes, I tried that. I applied the field to both the customer and the project record, and I filled it in on a project. But when I use it in the filters, nothing shows up :/

with this enabled the only option is to make a sales order (or maybe not the only option but the best option

But they are not using sales ordres

this allows you to add the project on the sales order.invoice lines instead of adding the project on the header level of the sales order/invoice
If you have a sandbox maybe try to turn this off in sandbox and see if it has many negative affects

Yes unchecking that box should fix it
If you do in sandbox check invoice billable customers screen and see if it now says customer:project instead just customer

NetSuite doesnt propose nothing for transforming charges to invoice
It's just awful
I can’t deactivate the consolidate projects as they are using billing accounts

Have you tried using a sales order with just 1 service item
Make 1 service item called “project charges”
Add this 1 item to your so with the project
Set all your project charges and charge rules to this same item
Then when invoicing the sales order it will all link to the 1 same service item by project
Or you would need a scripted solution

What if you set all your charges to the HOLD status
Then make a script/suitele for the customer to select what charges to move to ready status Then they sort/filter this by project
Then once the charges are in ready state invoice billable customers would only invoice the charges in ready status

Yes that is exactly the exactly the only solution which has been proposed by the tech team
Unhold charges via suitelet
Then wait sometimes that the process finish then bill them using the standard screen

And the sales order suggestion is not possible? It would just be making 1 sales order with 1 item during project setup You could even do that via script

Well the thing that has been done is that the sales order are used only for informational needs
They don’t use the refresh fonctionnality but when the project are created we have the link with sales order lines
But all the lines are put to 0 in the standard amount field
