Hi all - I have a use case I can’t figure out how to set up in NS CRM. Our Organization Constituents are schools. They have academic teams related to the schools that participate in robotic competitions. I can’t figure out how to create these entities related to the Organization, and then represent the Organization Constituent’s participation in an “event” while showing the pertinent team on that event participation record. If anyone has ideas, I’m pretty good at getting a direction and running with it…but if it sounds like a consulting project, I’m not opposed to being contacted by consultants who would be interested in helping with this project. Just thinking outloud as I'm not 100% familiar w/ the CRM side. It looks like Constituents are just renamed Customer records. So you have schools and then teams related to the school. There's no concept of "group" on the regular customer record so you'd have to create this relationship. You'd need a Team and then Team Members to model the academic teams. Team Members could potentially be employee records w/ no access as to not count against any licensing. The school would be the parent record to the team. An event would be between 1 or more schools and 1 more teams (im guessing) so you'd need to be able to select teams and subsequent team members. If the event doesn't exist, you'd have to model that with a record as well.

Thanks @creece - we actually don’t keep track of the team members in NetSuite. When you say “create this relationship” of “group” to customer record, that is precisely what I’m struggling with. That…and creating the groups.

@Angela Simon are their multiple teams per Constituent? How much unique info will you keep on the Teams? I’m extending @creece‘s thinking and wondering if these Teams could be sub-customers of the parent Constituent. This would then keep you close to native CRM functionality for communications activities and events.

There are multiple teams per constituent. There is some data we will keep on the teams, such as the number of graduate and undergraduate, gender breakdown, etc. I will look into sub-customers. Thank you!

@Angela Simon consider keeping the sub-customer a Leads if you won't be $$ transacting

I am still debating if using the native event functionality is correct, or if it will be too restrictive. I just want to be able to run a report per event and see the organizations and which teams participated.

I have a feeling you might have a Custom Record for your events. Then have your own Workflows for the additional fields, communications and RSVPs

hey! Do you bill these organizational constituents? And what are your main goals for creating the “event” in NetSuite?

@Howard we do bill the organizational constituents, but not the teams. My only goal for the “event” is to get a list of Organization Constituents and their teams that participate. I would like a report with a line for each team, knowing the organization constituent will repeat if there is more than one. I would also like to see the event participation on the Organization Constituent’s record, along with which team participated.

I see. The native event record will likely be too restrictive for your needs and adding the teams as sub-customers would be overkill as there will never be a time that your company would “Bill” the constituent’s teams.
As a user above noted, it would make sense to build out a custom record for each event. The event would be tied to one org constituent. The record could have multiple tabs on it (think of a native transaction as an example layout) with each tab showing the various fields that you’re interested in. One of those tabs would be a list of all constituents teams that participated
if done in this matter, it would be very easy to say run a report that shows for example Constituent, # of events, and which teams participated in each event (including if a team participated in multiple events)
