on a Cash Sales - what determines the status? I see some which are deposited and not. Is this dependant on if it has a particular type of payment method?

It is dependent on whether you choose a specific GL bank account in the Account field (Deposited) or instead you choose Undeposited Funds account (Undeposited) on the header part of the Cash Sale.
