Trying to set up a method for Subcontractors to Confirm/Approve POs within NetSuite. I know the Vendor Center is an option, but I don't know what controls I have over granting them access to edit the PO in any capacity.
m
You can't update vendor center roles to edit PO's that role is very limited and can only do the few things it's programed for
j
Yeah that is my fear. I'm trying to conjure up a route to have Vendors sign off on POs with potential for many POs relating to a single project.
m
You could try to use a WF (with run as administrator enabled) that would give them a button to approve a PO
j
A custom record connected to the PO could work I suppose, but it is bulky
m
Yes
j
That would add the button to the PO? Hmm yeah I like that
m
Or a custom transaction type works too, but you can't filter those by entity so they could see everyones custom transactions/records
j
Maybe dodge some of those native limitations
Yeah opening their non vendor center role up to POs did that also, so no go there
m
I've use a custom transaction type (purcahse type) for thiss in the past, but the filtering limitation is annoying
j
Yeah the filtering is key, it wouldn't need to be a transaction type, just have a connection to the PO, they would receive the transaction elsewhere, then approve in this approval form
But I do wonder if the button would work with them inside Vendor Center
m
Yeah a custom record could do that...however, with some clicking around the vendor could still get to other records
for example if they click the "List" link on your custom record they would see ALL of them
j
I'd have contingent workflows set up, and they would not have PO access, the custom record would also not provide any sensitive information
But the button would be much better lol
m
How would a workflow stop them from seeing the custom record list?
j
It wouldn't but I could have the list only provide the minimum information, and the role restricted
If they can see all, but only access and act on theirs, no consequence
m
oh right
so they see a list of just internal id
or something
j
Yeah basically
m
but if they click on one that's not theirs it would have return user error
good point
j
Yeah that will probably be my last option setup, it isn't ideal but would work
m
Yeah
j
Right now I just have a field on the project, but we're moving to multiple POs being a possibility
m
I see
Well also if your interested we have just launched a universal portal builder that is built within Netsuite and you can build an unlimited number of portals from Vendors, to Cusotmers, Partners...whatever you need. It may not fit with this use case, but is worth a look if your interested. www.versital.io
j
Yeah that sounds pretty unique!
m
You can basically display any record type to anyone you want
j
I'll take a look and check it out
m
Thanks...let me know what you think always love feedback!
j
That's awesome, I would love to get into making suiteapps or some type of product but just haven't really dug into it too much. Is it working well for you?
m
Yeah it's been received really well. Also have a lot of "custom elements" you can embed in portals as well. So you could build a dynamic wholesale portal for your customers and we're coming out with more features for employees and vendors too www.versital.io/wholesale
j
Nice nice!
Yeah I think upgrading the customer portal functionality is genius, the limits of the native setup can be a pain to a lot of companies I am sure.
