Workflow/Saved Search Email question: Currently, I have a saved search that I edited to be emailed to me and another employee only when there's a new/update of the records and this is scheduled everyday in the morning to send the email. The reality is the email is a hit or miss. I get it the odd times but majority of the times I don't even when a record is created or updated. Now, I just want to create a scheduled or even event based workflow to send an email. However, when I created the workflow, I would like to see the full list of results like the saved search showed me. Currently, the workflow only shows me what fields have been changed that's it. Is there a way to have a workflow show me the results of a saved search either on a schedule or event based? Thank you in advance

Since the workflow is running on each record individually you can only send an email for each record in the search and it can only contain data about that record. What you are describing is a scheduled email that lists all results of the search. However, it sounds like you are wanting the search to be emailed anytime a record is updated, but also include ALL the results of the search. This is not achievable with saved search emails or workflows. The only option is to setup a scheduled email from the saved search that sends ALL results at a predefined time OR setup a saved search/workflow to send upon update of a record, but the email would only contain data about the individual record

Alternatively, you could have a workflow email out everytime a record is created/updated and then ALSO a scheduled saved search email that sends the whole list

Thank you! I'll give this a shot. I also just recently learned I can convert a Saved Search into a PDF Template. I have no coding background. Is there a simple way to convert the PDF Template into an email template that way the saved search I have in my original post, I can convert that into a PDF Template, convert that into an email template, and then use that email template on the workflow so that it shows the entire results of the Saved Search? I'm hoping that makes sense

If you just create the PDF template there is a "standard" one that show up...and you can customize it using the Adv PDF editor
It's a little buggy, and usually requires some knowledge of HTML or Freemarker to get it exactly how you want
Just click the New Template button
Then once you save it you will see it in the list of your Adv PDF Templates

Something very odd is happening. I got the saved search email to work on my personal email (Gmail), but it won't send to my work email (Outlook). I checked my spam and security and can't find anything that would stop it from sending to my work email. Would anyone know why?
Oh got it! Lists -> Mailing -> Undelivered Emails. This showed me the reason why!

For some reason I always have trouble with outlook vs. gmail
